Our boutique law firm, which focuses on representing dentists and veterinarians across the country in a full range of business matters, seeks a highly motivated mid-level transactional attorney with a minimum of 3 years of solid experience working in a sophisticated law firm environment to work across the breadth of the firm’s practice. This position involves both includes both in-office and remote work. The ideal candidate will have M&A, real estate, transactional and general corporate law experience, preferably in the health care and dental industries.

Executive Assistant / Paralegal

Our boutique law firm seeks a professional, detail-oriented executive assistant who exhibits confidence, initiative and strong communication skills to join our team of attorneys and paralegals in our Philadelphia office from Monday to Friday.

Responsibilities include, but are not limited to, the following:

• Participate in client onboarding and initial client engagement, including participation in initial intake calls, preparation and collection of engagement letters, and direct communication with clients regarding any initial questions and concerns.

• Set up new matters in the firm’s practice management software; assist with maintaining practice management databases and generate reports to assist with the coordination, triage, and assignment of new matters to firm attorneys.

• Coordinate and handle conflicts checks within the firm.

• Handle and maintain systems for tracking and renewing attorney licensure, registration and CLE for jurisdictions across the country.

• Coordinate with IT, Telecommunications and Building Management through their respective portals as well as direct communication.

• Assist attorneys with correspondence, preparation of presentations, event planning, travel arrangements, CLE compliance, and scheduling using Calendly.

• Work on the production of firm podcasts; handle posting/publishing on firm social media accounts; handle email blasts through platforms such as MailChimp to clients regarding podcasts and developments in the law.

• Ability to work independently and as a key member of the legal team, working closely with the attorneys in the office as well as clients and other third parties.

Education and Skills Required/Preferred:

• Bachelor’s Degree or paralegal experience/certificate (preferred)

• Experience as an executive assistant and/or experience working in a law firm (preferred)

• Excellent written and verbal communication skills

• Strong interpersonal skills

• Excellent time management and prioritization skills

• Detail oriented

• Strong organization skills

• Self-directed, energetic and eager to tackle new projects and ideas

• Positive attitude

• Strong work ethic

• Ability to work well independently and in team environment

• Command of technology with an aptitude to problem-solve and learn new systems/applications

• Proficient computer skills including in Microsoft Office (word, excel, power point)

• Working knowledge of MailChimp, SalesForce, Calendly are a plus
