Our boutique law firm seeks an experienced, professional, detail-oriented Administrative Assistant who exhibits confidence, initiative and strong communication skills to support the firm located in our Philadelphia office from Monday to Friday. The dynamic nature of this role requires the ideal candidate to have exemplary time management skills and the ability to identify and anticipate the firm’s needs. The role must interact seamlessly and with a professional demeanor across a broad range of individuals including members of the office legal team (attorneys and paralegals), clients, lenders, CPAs, practice brokers, real estate brokers and other professionals. The Administrative Assistant will have the ability to work independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion.  To perform this job successfully, the individual is expected to handle highly sensitive and confidential financial, legal, and personnel information while exercising professionalism and discretion.

Responsibilities include, but are not limited to, the following:

  • Prioritize conflicting needs; handle matters expeditiously, proactively, and follow-through on projects to successful completion, often with deadline pressures
  • Coordinate and handle event planning and logistics
  • Take notes at meetings and handle post-meeting follow-up
  • Compose and prepare correspondence and assist with preparing presentations
  • Edit and proof-read documents and marketing materials
  • Read and review documents, articles and other information; summarize relevant content; data analysis
  • Liaise with clients; handle and coordinate customer relationship management (CRM)
  • Participate in client onboarding and initial client engagement, including participation in initial onboarding calls, preparation and collection of engagement letters, and direct communication with clients regarding any initial questions and concerns
  • Set up new matters in the firm’s practice management software; assist with maintaining practice management databases and generate reports to assist with the coordination, triage, and assignment of new matters to firm attorneys

  • Track the status of ongoing client matters and collaborate directly with attorneys and paralegals to ensure that all relevant deadlines are timely satisfied.
  • Coordinate and handle conflicts checks within the firm
  • Handle and maintain systems for tracking and renewing attorney licensure, registration and CLE for jurisdictions across the country for the Managing Partner
  • Coordinate with IT, Telecommunications and Building Management through their respective portals as well as direct communication
  • Work on the production of firm podcasts; coordinate with the production team on the release of podcasts; coordinate and schedule podcast guests
  • Act as liaison with various third parties including insurance providers, CPAs, lenders and brokers.

 Education and Skills Required/Preferred:

  • Bachelor’s Degree  
  • Strong work tenure: Minimum of 3 years of experience as an Administrative Assistant at the executive level
  • Expert level written and verbal communication skills
  • Very strong interpersonal skills and the ability to build relationships with stakeholders, including staff, clients, industry leaders and other 3rd parties
  • Excellent time management and prioritization skills
  • Strong organizational skills that reflect the ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail
  • Self-directed, energetic and eager to tackle new projects and ideas
  • Demonstrated proactive approaches to problem-solving with strong decision-making capability
